How The Speech Coach collects, uses, protects and retains your personal data, and the rights you hold over it.
Version 5.2 · Effective October 2026 · England & Wales
The Speech Coach Limited (“The Speech Coach”, “we”, “us”, “our”) is committed to the highest standards of confidentiality, privacy, data protection, safeguarding, professional integrity, and information security.
This policy explains how personal data, recordings, communications, intellectual property, and confidential information are collected, processed, retained, protected, and managed in accordance with:
This policy applies to all clients, prospective clients, corporate clients, workshop attendees, training participants, website users, and any individual engaging with The Speech Coach Limited.
This policy constitutes our Privacy Notice for the purposes of Articles 13 and 14 UK GDPR and should be read alongside any engagement agreement and our Terms & Conditions.
The Speech Coach provides two distinct categories of service, each governed by different professional frameworks:
Where The Speech Coach provides regulated speech and language therapy services, those services are delivered in accordance with the HCPC Standards of Conduct, Performance and Ethics and RCSLT professional guidelines. In this context, HCPC registration imposes binding professional, ethical, and confidentiality obligations.
Where The Speech Coach provides communication coaching, executive presentation coaching, or advisory services that do not constitute regulated clinical practice, those services are informed by the professional standards of the HCPC and RCSLT as a framework of best practice, but do not constitute regulated therapeutic intervention. Clients engaging for coaching purposes should note this distinction.
In all cases, The Speech Coach holds a current Enhanced DBS (Disclosure and Barring Service) certificate, renewed in accordance with applicable safeguarding guidance, and applies rigorous safeguarding obligations across all engagements.
The Data Controller responsible for your personal data is The Speech Coach Limited, registered in England and Wales, Company No. 11516901, Second Floor, 34 Lime Street, London EC3M 7AT. Website: www.thespeech.coach. Email: info@thespeech.coach. ICO Registration Number: ZA754577.
If you have any questions about how your personal data is processed, please contact us using the details above.
Depending on the nature of your engagement, we may collect and process the following categories of personal data:
In the course of coaching or therapy engagements, you may voluntarily disclose information constituting special category data under Article 9 UK GDPR, including health-related information, disability, neurodivergence, or mental health conditions. Where we deliver regulated speech and language therapy, health data will necessarily form part of the clinical record.
Such data is processed only where you have provided explicit consent (Article 9(2)(a) UK GDPR), where processing is necessary for the provision of health or social care (Article 9(2)(h)), or where another Article 9 condition applies. We will not seek to elicit such information unnecessarily.
Please refer to our Cookie Policy for further detail.
Where sessions are recorded, recordings may include image, video, audio, speech, behavioural observations, and information voluntarily shared during sessions. Full details of our recording practices are set out in Section 8.
Personal data is processed solely for the following legitimate professional purposes:
We process personal data under one or more of the following lawful bases under Article 6 UK GDPR:
Processing necessary to deliver coaching, advisory, or regulated therapy services pursuant to our engagement, or to take steps at your request before entering into one.
Processing carried out in pursuit of our legitimate interests in responding to enquiries, professional administration, service quality, communication analysis, safeguarding, and operational management, where such interests are not overridden by your interests or fundamental rights and freedoms. We have conducted Legitimate Interests Assessments (LIAs) in respect of processing carried out on this basis. A summary is available on request by contacting info@thespeech.coach.
Where processing is necessary for safeguarding a vulnerable individual, responding to an emergency, or detecting, investigating or preventing crime, we may rely on the recognised legitimate interests introduced by the Data (Use and Access) Act 2025.
Where specific consent is required, including for testimonials, recordings used beyond standard coaching analysis, non-essential cookies, or special category data where Article 9(2)(a) applies, we will obtain your explicit consent prior to such processing.
You may withdraw consent at any time by contacting info@thespeech.coach. Withdrawal of consent will not affect the lawfulness of processing carried out prior to withdrawal.
Processing necessary to comply with our legal and regulatory obligations, including under tax, accounting, and safeguarding legislation.
In limited circumstances, particularly in connection with safeguarding obligations, we may process personal data to protect the vital interests of a data subject or another person.
All coaching sessions, therapy sessions, communications, recordings, materials, notes, and discussions are treated as strictly confidential.
Information will not be disclosed to third parties unless:
This duty of confidentiality extends to commercially sensitive, personal, strategic, financial, investment-related, political, proprietary, or reputationally sensitive information shared during sessions.
Where we have reasonable grounds to believe that disclosure is necessary to prevent serious harm to you, to a child, or to a third party, we may be required, and in some circumstances legally obliged, to share information with appropriate statutory authorities, safeguarding bodies, or other relevant professionals, notwithstanding our general confidentiality obligations. Where possible and appropriate, we will inform you before making such a disclosure. Our safeguarding obligations take precedence over general confidentiality duties where a conflict arises.
In the context of regulated therapy with children and young persons, our obligations under Working Together to Safeguard Children 2023, the Children Act 1989, and the Children Act 2004 apply in full.
Sessions may be audio and/or video recorded for the following purposes:
Recordings are used exclusively within the coaching or therapy context for the benefit of the individual client.
Session recordings are processed on the basis of our legitimate interests (Article 6(1)(f) UK GDPR) in providing accurate, high-quality services, or on the basis of contractual necessity (Article 6(1)(b)), as applicable. Where recordings involve special category data, we will obtain your explicit consent (Article 9(2)(a)) or rely on another applicable Article 9 condition.
We will take reasonable steps to notify you before a session is recorded. This may include written notice in engagement communications, verbal notification at the outset of the session, or automatic notifications generated by video conferencing platforms (Zoom, Microsoft Teams, Google Meet). You are always invited to raise any concerns about recording before or at the outset of a session, and we will seek to accommodate reasonable requests.
Session recordings are treated as strictly confidential and securely stored. Recordings will not be publicly shared, distributed externally, sold, published, licensed, used for marketing, or uploaded into AI systems or datasets, without your explicit prior written consent.
All session recordings, whether held internally or supplied to a client, remain at all times the exclusive property of The Speech Coach Limited as both an internal business record and a work of intellectual property (see Section 9). Recordings are not, save where expressly agreed in writing as part of the coaching deliverable or where required by an exercise of statutory rights under the UK GDPR, supplied or released to clients as a matter of course.
Nothing in this policy limits or excludes your statutory rights under the UK GDPR and the DPA 2018, including your right of access under Article 15 UK GDPR. You may submit a Subject Access Request to obtain a copy of personal data we hold about you contained within recordings (see Section 14).
Where a request is, in our reasonable assessment, manifestly unfounded or excessive, or where you request further copies, we reserve the right to charge a reasonable fee based on our administrative costs in accordance with Articles 12(5) and 15(3) UK GDPR (and not by reference to the discretionary access fee in Section 8.8).
We may redact or restrict portions of recordings where necessary to protect third-party confidentiality, legally privileged material, proprietary methodologies, or the rights of others, in accordance with applicable data protection legislation.
Where we have expressly agreed in writing to share specific video content with you as part of the coaching deliverable (for example, performance footage agreed in advance for your review), it is supplied solely for your personal review, communication analysis, and developmental purposes. For all other recordings, access is available only on a discretionary basis subject to the fee in Section 8.8, save where you are exercising statutory rights (in which case Section 8.5 applies).
Recordings provided to you may not be redistributed, commercially exploited, shared publicly, uploaded into AI systems (including Read AI, ChatGPT, Claude, Microsoft Copilot, or similar), or used for any external educational or commercial purpose without our explicit prior written permission.
Session recordings are retained securely for 90 days from the date of the session and are then permanently deleted, unless a longer retention period has been expressly agreed in writing or is required by an overriding legal, regulatory, professional, or safeguarding obligation. This period is the minimum reasonably necessary for note-taking and follow-up, communication analysis, quality assurance and professional reflection, the handling of any complaint or dispute, and compliance with professional standards. Earlier deletion may be requested by contacting info@thespeech.coach and will be carried out promptly, subject to any overriding obligation and any open complaint, dispute, or investigation.
Outside (i) any video content expressly agreed in writing to form part of the coaching deliverable, and (ii) the exercise of statutory rights under the UK GDPR, a discretionary administrative access fee of £750 per recording is payable to access, view, or obtain a copy of a recording. This fee:
This fee does not apply to, and shall not be charged in respect of, the lawful exercise of statutory rights under the UK GDPR, including a Subject Access Request under Article 15.
All methodologies, frameworks, coaching systems, exercises, analyses, recordings, observations, reports, notes, strategic models, and educational materials created or provided by The Speech Coach Limited are and shall remain its exclusive intellectual property, unless otherwise agreed explicitly in writing.
Materials are provided exclusively for your private developmental use and may not, without our explicit prior written permission, be:
No transfer of intellectual property ownership is implied or effected through participation in sessions, receipt of recordings, materials, analyses, or strategic recommendations. All rights not expressly granted are reserved.
